Data Protection Information

The Österreichische Akademie der Wissenschaften (OeAW – Austrian Academy of Sciences), Institute for Social Anthropology (ISA), takes data protection very seriously and treats your personal data confidentially and in accordance with the statutory provisions.

This data protection information is intended to inform you as a participant according to Art 13 GDPR of the CLIMATE Arch – Symposia about the purposes, legal basis and about your rights with regard to the processing of personal data by OeAW/ISA.

Purpose and legal basis of the data processing:

1. For the organization and administration of the symposia, we process the following personal data, which you yourself disclose as part of your registration for the respective symposium:

a. Contact data (first and last name, affiliation, e-mail address, billing address).

b. Preferred method of participation

c. Preferred panel for symposium

d. Abstract for symposium

e. Payment data

f. General communication content data

We process your data for the purpose of administering your registration (Art 6 (1) b and c GDPR).

The processing of this mandatory information is necessary for the organization of the symposia. If you do not provide us with the data, participation in the symposia is unfortunately not possible.

2. Information about future events: If you give us your consent to do so (by checking the appropriate box), we will inform you about future events (Art 6 (1) a GDPR). In this case, we will store your data until you revoke your consent. However, the revocation of consent does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.

3. Public Relations and documentation of the symposia:

Photos and/or recordings are taken at the symposia, which may be used for public relations and documentation of the event.

OeAW is legally appointed “to promote science in every way” [cf. § 2 of the Federal Act on the Austrian Academy of Sciences (OeAW Act – ÖAWG)]. In order to meet this requirement, OeAW has to organize events in fulfilment of their public duties and to inform the public about them. Thus, the legal basis for the public relations work and the documentation of the symposia, in particular by taking photos or recordings, is Art 6 (1) f GDPR or Art 6 (1) e GDPR in conjunction with § 2 ÖAWG.

Recipients:

OeAW/ISA uses the services from Hetzner Online GmbH as data processor for the operation of the website and the registration process. Beyond that there will not be any further disclosure of your registration data to third parties.

Any recordings/event photos on which you can be identified may be published as part of the documentation and public relations on central media channels (e.g. Websites of OeAW, social media).

Storage period:

Your personal data will be stored on the basis of contract fulfilment for as long as it is necessary for the administration of your symposium registration. In addition, we store your data to comply with legal obligations, if legal retention periods exist for this purpose or statutes of limitations regarding potential legal claims are open.

In case of legitimate and public interest we process the data as long as this is necessary to protect the legitimate or public interests or until a (justified) objection is raised.

If you have given us your consent to process your data, we will store this data until you revoke it.

Period and location of storage:

Data you have made available to us via this website (particular through the registration form) will be stored until you revoke your consent to do so. The data is beeing stored in a database in a secure Datacenter by Hetzner Online GmbH in Germany (EU).

Your rights:

In connection with the processing of your personal data, you have the following rights at any time, which can be exercised:

- Right of access (Art 15 GDPR),

- Right to rectification (Art 16 GDPR) or erasure (Art 17 GDPR) or to restriction of processing (Art 18 GDPR),

- Right to data portability (Art 20 GDPR),

- right to object (Art 21 GDPR),

Furthermore, you have the right to lodge a complaint (Art 77 GDPR), which would have to be submitted to the Austrian Data Protection Authority, e-mail: dsb@dsb.gv.at as the competent supervisory authority in Austria or a competent supervisory authority within the EU.
